What Maptelo does on a computer and where the data goes

One page for the team, IT and the data protection officer. The full technical description is available before a pilot.

In short

Runs locally

A program on one person’s computer, much like Power Automate Desktop. No server, no cloud account.

No telemetry

No background updates and no data sent to the maker. Studio and the reports download nothing from the internet.

No administrator

A per-user installer or a portable version. It installs no services, drivers or browser extensions.

AI off by default

Runs are deterministic. AI help with repairing a step is switched on deliberately, and IT can block it.

What Maptelo connects to

Data leaves the computer only in these cases:

WhereWhyWhen
The app the robot works in (e.g. the ERP)the same as a person: pages in the browserduring a run
An independent read-back address named by the company (e.g. an internal API)confirming the result is in the systemduring a run
An AI model at an address set by the companyrepairing a step after a screen changed: the model gets the text of the current screenonly with AI help switched on
127.0.0.1 on the same computerStudio: a page only for this computer, with a one-time keywhile Studio runs

HTTPS is checked by Windows, just like in Edge, so corporate proxy certificates work without exceptions.

What stays on the computer

Recorded demonstrations
Clicks, typed values (never passwords) and screenshots. Once the model is built and accepted they can be deleted.
Model and documents
The process model, the guide with screenshots, the diagram (SVG, BPMN) and the report.
Runs
Results, a screenshot from the end of every run and a copy of the spreadsheet with statuses. Password and key columns are covered in the copies.
The robot’s browser profile
The remembered sign-in. Treat it like a password: deleting the folder signs the robot out.

Screenshots older than a set number of days can be removed automatically (IT policy). Results and reports stay.

Private mode

For processes with personal or confidential data. Screenshots keep the layout (menus, tabs, column headers, buttons), so the guide still shows where to click. Values in fields, table contents, record titles, breadcrumbs and messages are covered. A model built from such recordings keeps no values as examples.

A limit: free text elsewhere on the screen may stay visible. Such screens are better recorded without screenshots.

What a pilot needs

  1. 1

    A Windows computer

A per-user installer without administrator rights, or a portable version (zip).

  2. 2

    A browser

Microsoft Edge, Google Chrome or the browser bundled with Maptelo.

  3. 3

    An app in the browser

ERP, CRM, a portal. A person signs in once, SSO included, in the robot’s own profile.

  4. 4

    A spreadsheet with the data

Excel (.xlsx) or CSV: one row per run of the process. The original stays unchanged.

  5. 5

    An independent read-back

Usually an internal API of the system that shows whether the change is saved. We settle it during the pilot.

  6. 6

    A test environment

A copy of the system or made-up data to start with. Shadow mode compares the robot’s work with people’s without saving.

IT policy

One file in %ProgramData%\Maptelo restricts the program for every account on the computer. An unreadable file or a typo stops everything: runs don’t start and the diagnostics show the error with its place in the file.

  • The robot works only on the sites on the list. It checks before opening an address, after a redirect and before every action.
  • AI help can be switched off or pointed at a company gateway.
  • The browser in the policy wins over the person’s choice.
  • Screenshots older than keep_days are removed.
# %ProgramData%\Maptelo\policy.yaml

  allowed: false
  # or: endpoint: https://ai.company.com/v1
applications:
  allowed_hosts:
    - erp.company.local
    - "*.company.com"
    - login.microsoftonline.com

  # days: older run screenshots are removed

Run outcomes

Every row ends with one of seven outcomes. Only the first one means “done”.

OutcomeWhat it meansRetry
VERIFIEDDone and confirmed by an independent read. Also “already done”: the result was in the system, nothing written twice.—
HALTED_SAFEStopped with certainty that nothing was saved: a dry run, an ambiguous element, a step for a person, a change waiting for acceptance.once explained
REJECTEDBad inputs: the row is rejected before the robot touches the screen.no
BUSINESS_EXCEPTIONA known business exception, e.g. the product doesn’t exist.goes to the report
NEEDS_RECONCILIATIONAn uncertain save, e.g. an “OK” message the read-back doesn’t confirm. A person checks.never blindly
SYSTEM_FAILUREA technical failure before saving, e.g. the app doesn’t respond.yes, with a breaker
COMPLETED_UNVERIFIEDThe steps ran, but the process has no way to check the result. Not a success.—

What Maptelo doesn’t do

  • It doesn’t monitor work: it records only a demonstration someone switched on.
  • It sends no data to the maker: no server, no account, no telemetry.
  • It doesn’t store passwords: you sign in yourself, in the robot’s profile.
  • It doesn’t bypass security: the robot has the same rights as the person who runs it.
  • It doesn’t click a save button it guessed: a changed save button waits for acceptance.
  • It installs no services, drivers or browser extensions and changes no system settings.

Project status

  • Maptelo is before its first company deployments. It runs on test installations of Odoo 17 and 18 and on a test app with deliberately injected failures and screen changes.
  • The installation packages are not digitally signed yet, so Windows SmartScreen shows a warning. Signing comes before a wider rollout.
  • Every package lists the libraries inside and their licences. An automated check runs on every package: no strong copyleft and no non-free licences.
